How To Create Totally Dynamic GoToWebinar Infusionsoft Campaign

GoToWebinar is a powerful tool for generating leads, converting prospects to customers and delivering your content in an engaging way.

Infusionsoft is also a powerful tool for generating leads, converting prospects to customers and delivering your content in an engaging way.

But most people are not using Infusionsoft to fully manage their GoToWebinars.

Create a Dynamic Go-To-Webinar Integration Campaign

CHALLENGE:

You run webinars all the time. You want to:

Have attendees see only your branded forms and emails, not those ugly GoToWebinar ones
Not have to manually set up all the merge fields and tags every time you run a new webinar
Send reminders one hour before and at the start of the webinar without hard coding the dates and times
Have attendance marked and tagged automatically
Optional: Have attendance marked and tagged automatically for a webinar series

SOLUTION:

This tutorial and accompanying video gives you the step-by-step to create a dynamic, Go To Webinar integration with Infusionsoft, which showcases six different Pocket Developer plug-ins: Any Text Anywhere, Any Date, Any Format, Anywhere, Universal Delay Timer, Custom Delay Timer, Tags On The Fly and the GoToWebinar Integration.

STEP-BY-STEP

1. In Campaign Builder, create the following:

a sequence named “Register in GTW”
an API goal named “PDWakeUp1dfg”
a sequence named “Add Webinar merge fields”
a sequence named “Send confirmation Email”
an API goal named “PDResumedhs3d”
a sequence named “Send one hour reminder”
an API goal named “PDResumeSew22”
a sequence named “Send reminder at start time”
an API goal named “PDResumeD6ts”
a sequence named “Mark Attendance and Set
Webinar Replay Link field”
two tag goals – both connected to the previous sequence – named “Attended Tag” and “Did Not Attend Tag”
connect a sequence named “Attended Emails and Tags On The Fly” to the Attended Tag goal
connect a sequence named “Did Not Attend Emails and Tags On The Fly” to the Did Not Attend Tag goal
connect the two previous sequences to a single sequence named “Remove Attended/Did Not Tags and Wipe Stash Field”

2. In the sequence named “Register in GTW”, create the following:

This assumes you have already installed and configured the GoToWebinar plug-in and created the webinar. The number in webinar is the GoToWebinar webinar ID and the action tells it to register this person.

Configure an HTTP POST snippet named “Pocket Developer Custom Delay Timer Delay 120 seconds for GTW info to get back” as follows:

POST URL => http://theapiguys.com/scripts/PocketDeveloper/Blocks/CustomDelay/customdelay.php
contactId => ~Contact.Id~ (you shouldn’t need to change this)
callName => PDWakeUp1dfg
delayFor => 120

Pocket Developer Custom Delay Timer is going to pause 120 seconds and then trigger the API goal following it to resume the campaign. The callName must match the callName in the API Goal immediately following this sequence.

3. Configure the API Goal, “PDWakeUp1dfg”, as follows:

integration => Your app name
Call Name => PDWakeUp1dfg

Pocket Developer Custom Delay Timer waits 120 seconds and then triggers this API Goal. That is why Call name must match in both places.

4. In the sequence named “Add Webinar Merge Fields”, create the following:

The Any Date plug-in takes the date field populated by the GoToWebinar plug-in and converts that to a date like Saturday, August 30, 2014 for merging into emails. The format of the date is determined by the format value.

Configure an HTTP POST snippet named “Pocket Developer Any Date Put time in text field” as follows:

Notice this time Any Date takes the exact same date and converts it into a time, like 4:00 PM ET, and saves it in a different text field so it can be merged.

This time we put the date in the required Infusionsoft format in a Date field so we can use it for a Field Timer. Field Timers do not work with DateTime or Text fields.

5. In the sequence named “Send Confirmation Email”, create the following:

Configure a confirmation email to be sent upon registration:

Notice the merge fields we populated in the previous sequence are now used in our email to make it dynamic.

Configure an HTTP POST snippet named “PDev Trigger API Goal: Trigger 1 hr before webinar” as follows:

The Pocket Developer Universal Delay Timer plug-in will trigger the API Goal, named PDResumedhs3d, and resume the campaign, 1 hour before the webinar start. This cannot be done with both date and time dynamically currently in Campaign Builder.

6. Configure the API Goal, “PDResumedhs3d”, as follows:

integration => Your app name
Call Name => PDResumedhs3d

Pocket Developer Custom Delay Timer waits until one hour before the webinar start time and then triggers this API Goal. Remember: the call names must match in both the POST Snippet and the API Goal.

7. In the sequence named “Send One Hour Reminder”, create the following:

Configure a reminder email to be sent one hour before the webinar begins using previously populated merge fields
Configure an HTTP POST snippet named “PDev Trigger API Goal: Trigger at webinar start time” as follows:

The Pocket Developer Universal Delay Timer plug-in will trigger the API Goal, named PDResumeSew22, and resume the campaign at the webinar start so one last reminder email can be sent.

Pocket Developer Custom Delay Timer waits the webinar start time and then triggers this API Goal. Remember: the call names must match in both the POST Snippet and the API Goal.

9. In the sequence named “Send Reminder At Start Time”, create the following:

Configure a reminder email to be sent as the webinar begins, using previously populated merge fields
Configure an HTTP POST snippet named “PDev Trigger API Goal: Trigger at 4 hrs after webinar start time” as follows:

This part is ninja. The “request” parameter chains two plug-ins together. In this case, Any Date Anywhere and Any Text Anywhere are chained. The request parameter uses the URL and a query string to pass the result of Any Date ({result}), to Any Text, in order to create a URL in a custom field that looks like http://yourdomain/blog/20140904-webinar-replay. That URL can be merged into the upcoming emails without having to change the campaign each time. You just have to create the replay page names to match and it will all be dynamic. We are using Contact._MiddleName to store the URL just to save custom fields, but you could put it in any text field.

Configure an HTTP POST snippet named “PDev GTW Set Attended Did Not Attend Tags” as follows:

absent => tag ID you want applied for those who were absent

This post uses the GoToWebinar plug-in to fetch attendance for your webinar and apply tags to attendees accordingly. This is one of two places you must manually update webinar ID for each webinar.

12. From the Mark Attendance sequence, configure two Tag Goals – one triggered by your Absent tag and one by Present tag – as follows:

13. In the sequence named “Attended Emails and Tags On The Fly”, create the following:

Notice the merge field for the video link we populated in the previous sequence is now used in our email to make it dynamic.

Do the same for the Did Not Attend Emails and Tags On The Fly sequence, substituting Event Not Attended for the tagCategory name.

We stored the webinar date, in the form of YYYYMMDD, in the Middle Name field, back in Step 11. Now we are merging that into a new tagName YYYYMMDD PD Launch Demo. If the tag category and/or name don’t exist, they will be created. The tags will be applied to contacts whether it already exists or had to be created. Note that ‘%’ is the wildcard symbol in Infusionsoft.

13. In the sequence named “Attended Emails and Tags On The Fly”, create the following:

Remove your generic Absent/Present tags so you can use them again if this contact attends another webinar:

Final step is to reset our “stash field”, MiddleName, back to blank. This is not necessary but we consider it good housekeeping.

Installing the Plug-In

Note: You should have installed your Infusionsoft Pocket Developer plug-in using the instructions provided, if for any reason you have not installed your Pocket Developer plug-in click here to learn how.

Configuring the HTTP Post Snippet

NOTE: Everything in an HTTP POST is case sensitive. That includes the URL, the parameters on the left and the field names on the right. If caPitaLizaTion is wrong, your post will not work.

ANOTHER NOTE: The merge field in the saveTo parameter should never have tildes around it (~). If you use the merge button to add a field, make sure to remove them for this parameter. We are saving to, not merging from.

URL:

The URL, on your server, where the Pocket Developer script is stored. For example:
http://yourdomain.com/scripts/PocketDeveloper/Blocks/TagsFly/tagsfly.php

Required Name/Value Pairs:

action

The action to take with the specified contact for the specified webinar. The supported actions are:

1. attendance: Mark the contact as present or absent
2. register: Register the contact for the specified webinar

This is the contact Id for the contact record where fields will be retrieved (if any) and who will be registered for the webinar or tagged as absent/present

How To Register A Contact For GoToWebinar From Campaign Builder

Step One – Initial Configuration of APIs

1) Register for a Citrix Online Developer Account

2) Add a new app in the Citrix Developer Center

From the My Apps page, click the button in the top right that says “Add a New App”

Give your app a name – it doesn’t matter what you call this. No one will ever see it. You can call it Test or Fido or Jumping Bean.
Put something in the description. Again … doesn’t matter.
Choose GoToWebinar for Product API
Expected API Requests Per Month – 2000O (Just making something up … who knows?)
Expected go live date – today’s date is fine
Application URL – localhost
Press the Save App button

Click the link to your new app. On the keys tab, copy the Consumer Key And Consumer Secret.

3) Download the zip file, from GitHub, which contains our GoToWebinar class library, our extended version of the Infusionsoft SDK, and other assorted and sundry files needed for this process.

4) Unzip the file. Use FTP to place it in your scripts folder (lower case) that you created when you set up your iSDK.

NOTE: If you do not already have a scripts folder, use your FTP client to add one in the main directory for your website (usually called www or public_html).

Do not worry if your server already has a copy of the Infusionsoft SDK on it elsewhere. This includes our extended SDK and makes configuration easier.)

5) Navigate to and open the /scripts/webinar/lib/citrix/config file with a text editor. Enter your GoToWebinar credentials in the following format:

alias:user_id:password:consumer_key:consumer_secret

Alias – just make this something descriptive like API_guys

User ID – this is the e-mail address you used to sign up for GoToWebinar

Password – this is your GoToWebinar password

Consumer Key – this is the consumer key you got when you set up your app in the Citrix developer center

Consumer secret – this is also from your app in the developer center

6) Navigate to the /scripts/webinar/lib/infusionsoft/isdk/ folder and open your conn.cfg.php file with a text editor

Replace the items in the array with the following: an alias (again, it doesn’t matter what you put here … Just something descriptive), your app name, leave the i, your API key, and a description of your app(what you put here doesn’t really matter much).

Save that file

(Note: if you have the SDK set up elsewhere on your server, you can copy these values from that file. Otherwise, you will need to get the API key from your Infusionsoft app)

7) Test your connections to Infusionsoft and GoToWebinar – Run the conn-test.php file by copying the following URL to your browser window: http://yourdomain.com/scripts/webinar/testConnections.php

If everything is set up correctly, you should see the following:

Step Two – Configuration for Webinar Registration

1) In your Infusionsoft app, go to Admin -> Settings and create the following custom fields for your Contact records (or repurpose fields you already have – must be the correct field type for this to work):

2) Click on “View the field database names (for the API)” and write down the database name of each field contained in the far right column.

Note: You can use these fields over and over so long as you do not have more than one webinar scheduled at a time.

3) Go back to your server. Navigate to /scripts/webinar/set-custom-fields.php. Open that file with your text editor and configure the names of your custom fields, as follows:

	$dbDateTime = '_YourDateTimeFieldName';
	$dbDateOnly = '_YourDateOnlyFieldName';
	$dbDatePretty = '_YourDatePrettyFieldName';
	$dbTimePretty = '_YourTimePrettyFieldName';

Step Three – Configuration for Applying Event Registered Tags (optional)

(This step programmatically creates and applies a tag to each person who registers, with a name formatted as ‘YYYYMMDD Event Name’ in the tag category you choose. I put mine in a category, specifically for this purpose, called Event Registered.)

1) Go to CRM Settings – Tag Categories. Hover over either the Edit or Delete links for the tag category to get the Category ID. You need the category ID where you (will) put the Event Registered tag. Write down that ID.

NOTE: Again, these tags have not been created yet. We create those programmatically when and if someone registers. But you need to know which category you will use when you create them.)

2) Go back to your server. Navigate to /scripts/webinar/event-reg-tags.php. Open that file with your text editor and configure the tag category and text, as follows:

Step Four – Configuration for Applying Attendance Tags (Optional)

1) Create a generic, reusable tag for Attend and Did Not Attend that is used to drive the campaign, not store information. (I put all tags of this nature in a Tag Category called Process)

Write down the IDs for each tag

Step Five – Configuring the Campaign in Campaign Builder:

1) Log in to GoToWebinar to get the ID of the webinar you want to set up.

This will be the long number at the end of the registration link, NOT the nine digit number labeled Webinar ID. Write that down.

2) Then set up Campaign Builder something like this:

(Railroad Siding is optional. This is a 15 minute delay timer that holds the confirmation email if the Join URL hasn’t come back from GoToWebinar yet.)

The webinar registration form must have fields that match the fields you selected when you set up the webinar. So, if you required first, last and email, your Infusionsoft form must also have first, last and email.

3) Register and Set tags sequence:

3a) Register GTW Post

Leave contact_id as is

Add a field for webinar_id. Use the long webinar ID you wrote down earlier.

3b) Set Custom Fields Post

Leave contact_id as is

Add the following name value pairs, substituting the information for your webinar in each field:

3c) Apply and remove tags to taste

4) Send Confirmation Sequence

(NOTE: Your merge field names will be different.)

4b) Set Specific Date Tag

For post URL, use http://yourdomain.com/scripts/webinar/event-reg-tag.php

Leave contact_id as is

Add eventDate as a name and your date only merge field:

5) Check Attendance After Webinar Sequence (optional)

5b) Check Attendance and Set Appropriate Tags Post

Leave contact_id as is

Add the long webinar ID, and your tag IDs for the generic Did Attend and Did Not Attend tags you created earlier.

6) Add a finish goal for the two generic attendance tags and Publish.
